TLC Healthcare is an industry leader in integrated healthcare, committed to providing outstanding care and strengthening wellbeing within our communities. We are now seeking a highly skilled Quality Intake Coordinator to join our Quality & Risk team and play a pivotal role in supporting regulatory compliance across our residential aged care homes.
This role is ideal for an experienced Registered Nurse with strong regulatory knowledge who thrives in a structured, high-accountability environment and enjoys driving quality, safety and continuous improvement.
About the Role
As the Quality Intake Coordinator, you will be responsible for the centralised intake, triage and coordination of all external feedback, complaints, incidents and regulatory correspondence received across TLC’s 12 aged care homes.
You will ensure every regulatory matter is accurately logged, tracked, and responded to within required timeframes, working closely with clinical, operational, quality and executive stakeholders. This role is critical in ensuring audit-ready documentation, preparing high-quality submissions, maintaining compliance with the Aged Care Act, SIRS, Aged Care Rules, and Strengthened Quality Standards, and supporting TLC’s ongoing regulatory readiness.
Key Responsibilities
Centralised Intake & Coordination
- Act as the single point of intake for all external feedback, complaints, reportable incidents and regulatory correspondence across all homes.
- Triage matters based on urgency, risk and regulatory requirements.
- Track, allocate and oversee the progress of all matters to ensure nothing is missed or overdue.
Regulatory Response Management
- Coordinate evidence gathering, documentation and statements from relevant stakeholders.
- Prepare accurate, defensible, high-quality submissions to the ACQSC.
- Monitor deadlines and escalate risks proactively.
Oversight, Tracking & Assurance
Maintain central registers and ensure documentation is accurate, complete and audit-ready.
Identify gaps, risks or inconsistencies in information and escalate accordingly.
Conduct regular quality checks across documentation and submissions.
Stakeholder Engagement & Support
- Work closely with clinical, operational, quality and executive teams to gather information and support consistent regulatory responses.
- Provide guidance to homes on documentation standards, regulatory expectations and compliance requirements.
- Reduce administrative burden for operational leaders through structured processes and clear communication.
Reporting, Analysis & Continuous Improvement
- Identify emerging risks, recurring themes and system-level issues through analysis.
- Prepare reports, dashboards and insights for Quality & Risk and Executive teams.
- Support organisational initiatives that strengthen compliance maturity and improve resident outcomes.
About You
Qualifications & Experience
- Registered Nurse Division 1 with current AHPRA registration.
- Strong understanding of the Aged Care Act (2024), Strengthened Quality Standards, SIRS, Aged Care Rules (2025), and ACQSC processes.
- Experience preparing regulatory submissions, complaints responses, incident notifications and audit documentation.
- Skilled in working with quality management systems, incident platforms and document control systems.
Skills & Competencies
- Highly developed computer literacy (MS Office, PowerPoint, Excel, industry platforms).
- Strong analytical ability and attention to detail.
- Skilled in triage, prioritisation, documentation review and risk assessment.
- Excellent written communication and ability to produce defensible, structured submissions.
- Strong stakeholder engagement and ability to manage competing priorities under pressure.
- Ability to interpret legislation and translate it into practical operational requirements.

- Up-to-date COVID-19 vaccinations
- NDIS Check (including police clearance)
- Working with Children Check
- Proof of eligibility to work in Australia
- Current Drivers Licence
- Mandatory training as required
